Automatic File Lifecycle Policy

RealtyBy.ai is not intended to replace brokerage record retention systems. To reduce liability and unnecessary data exposure:

Transaction files remain active only during the transaction
7 days after closing, all transaction data is programmatically deleted
This includes documents, drafts, calendar steps, team data, and transaction records

Brokerages and agents remain responsible for maintaining official compliance records in their designated systems.

Role-Based Access Control

Access is strictly permission-based:

AgentFull access to their files

SellerRead-only transaction visibility

BrokerOversight visibility (if enabled)

Users can only access transactions they are authorized to view.

Data Ownership

Agents and brokerages retain ownership of their data. RealtyBy.ai functions solely as a transaction workflow engine and does not claim ownership of uploaded documents.
