Office Policies & Procedures
Client safety: all clients must sign in at the front desk and be escorted out after the meeting. If showing property in a prospect’s car, copy their driver’s license and leave it with the front desk.
Workspace: check it often — it’s the easiest way to send/receive office information.
2 conference rooms + 1 training room — reserve through the front desk.
Balloons, flags, signs, riders, lockboxes, etc. are checked in/out through the front desk — plan ahead since the office is closed weekends.
Packages: front desk texts you a photo when one arrives. Regular mail is NOT announced — check your mailbox often.
Checks/closing documents received by the front desk are scanned, emailed to the agent, and uploaded to Workspace if a transaction exists; the RE/MAX check goes to Compliance and originals go to your mailbox.
Risk Department — Closing (Commission) Checks
Copies of ALL checks (including checks to RE/MAX Universal) are part of the transaction file.
A transaction CANNOT be closed without check copies submitted to the Workspace transaction and checks turned in — it won’t count toward monthly totals otherwise.
It’s the agent’s responsibility to get all checks from the title company; if mailed, request overnight shipping to avoid delays (especially end-of-month closings).
Scan checks and attach to the Workspace transaction (front desk does this if they receive the checks/documents).
If a check lacks transaction info on the stub, attach it to a Check Transmittal form (first-floor work room) — front desk handles this if they receive it.
Place checks in a tray in the cabinet. If commission is wired, upload a copy of the wire to Workspace.
Extending a Closing Date
If a CDA has already been issued, email/call Alexis to send the transaction back to you.
Change the closing date on Workspace.
Upload an amendment extending the closing date to the Workspace transaction.
Re-submit the transaction on Workspace.
Payments — Lease Rent, Office Bill & Zelle
First month’s rent on leases: accepted via Zelle to payment@remaxuniversaltx.com (registered to WALLGOOD, LLC) — include the transaction address or agent name in the memo.
Office bill: pay via the same Zelle (payment@remaxuniversaltx.com, WALLGOOD, LLC) or set up bank auto-pay to mail a check to RE/MAX Universal.
The office bill is emailed on the 23rd of each month — payment is due before the 1st of the following month.

Property Time (Floor Duty)
Opens each quarter — a voluntary 3-month commitment; once signed up, agents must fulfill all assigned shifts for the quarter.
A new schedule is published monthly, emailed to sign-ups, posted in the workroom (~15th) and on Workspace.
Agents must be physically present in the building for their shift; if you can’t cover it, you must arrange your own replacement and notify the Front Desk.
Late policy: up to 15 min late — notify the on-duty agent and Front Desk. More than 15 min — arrange coverage in advance. Failing to arrange coverage removes you from Property Time for the rest of the month (or next month at month-end). 3 late arrivals in a year = removed for 1 year.
No-show policy: an uncovered missed shift = immediate removal for the rest of the quarter (or next quarter at quarter-end). 3 no-shows in a year = removed for 1 year.
New Agent Onboarding Checklist
TREC (broker-invited): accept the broker’s invite and record your TREC license number, username/password.
Houston Association of Realtors (HAR): broker-sponsored login + Agent MLS Public ID.
National Association of Realtors (NAR): broker-sponsored login + NRDS number.
MaxCenter checklist: complete your full agent profile (bio, contact info, headshot, social accounts, service areas), complete "RE/MAX 101: Liftoff Starts Now," "Tech 101: Getting Started in RE/MAX University," and the New to RE/MAX Technology Onboarding Course.
Complete BoldTrail initial setup + BoldTrail Agent Quick Start Course, plus an initial BoldTrail overview sit-down with Richard Wilkinson.
Have your email signature checked for compliance (IABS & Consumer Protection notice links above your signature).
Marketing (Bambi Kelly): meet with RE/MAX Universal marketing to review services, join the private RE/MAX Universal Facebook group, post a Facebook welcome introduction, and view the RE/MAX Marketplace.
Have your office manager sign off once every task is complete, and save the checklist as a PDF.
Information About Brokerage Services (IABS) & Consumer Protection Notice
Texas law requires every license holder to give clients the "Information About Brokerage Services" notice, explaining broker vs. sales agent roles, minimum broker duties, written-agreement requirements, and the three representation types: seller’s agent, buyer’s agent, and intermediary.
You must add links to your IABS and Consumer Protection Notice on your email signature, website, and Facebook business page — copy the links from HAR.com under My Account → Account Info → Information About Brokerage Services, or use the preformatted titles under Personalize Information → Create Email Signature.
Giraffe360 Property Media
The brokerage provides a Giraffe360 camera for HDR photos, 360° virtual tours, floor plans (98%+ accurate), drone/cinematic video, and property websites — all from one connected platform.
Pricing: first tour on-site training is complimentary. Self Serve — $125 full package (40 photos + floor plan + virtual tour), $100 for 40 photos only, $100 for virtual tour + floor plan. Full Service — $225 full package, $175 for virtual tour + floor plan.

Building Security / Alarm System
Two keypads (front door, side door) — only one needs to be armed. Modes: STAY (armed while someone remains inside, perimeter only) and AWAY (leaving — perimeter + interior).
If you are the last person out at night, arm in AWAY mode, and walk the building first to confirm no one else is present.
To arm: close all 4 exterior doors (front, side, back, fire escape), confirm the green "Ready" light is on/flashing, then enter code 2007 and press STAY or AWAY.
To disarm: your key fob should disarm on entry. If the keypad sounds a continuous tone, enter code 2007 and press OFF within 45 seconds at either keypad.
If the code isn’t entered within 45 seconds, the alarm triggers and the security company calls the first-floor computer room phone asking for the password "SUPRA" (not the numeric code) — answer and give the correct password, or Houston PD will be dispatched.
